Members Events Co-ordinator

Searcys are looking for a Members Events Co-ordinator to co-ordinate the experience for Members and the Regiment who use The HAC, ensuring the highest standards of service across each of the services offered by The Honorary Artillery Company

The HAC is quite unlike any other City venue; a magnificent Grade II  listed building set in a five-acre garden hidden away in a quiet location just a couple of minutes walk from Old Street.

Job Type: Full Time

Monday to Friday 

Salary: up to £32,000

 

Key Duties and Responsibilities:

Sales:

  • To ensure a five-star customer experience for all Members Private Dining and Functions
  • To promote the use of event spaces for member events.
  • To take responsibility for the events.
  • Proactively identify and advise the Sales Manager and/or General Manager of any changes that would enhance the Member experience. This would include, but is not limited to, changes within the protocols to the service offering and the venue spaces in which the services are provided.
  • Work with the SMM & General Manager to identify potential prospects for HAC corporate membership
  • Responding to customer feedback and sharing with colleagues, in addition to identifying any recurring issues and raising these with the correct department heads.
  • Attending weekly meetings as required with the HAC Regimental Operations Support Officer to ensure the correct allocation of spaces for regimental events
  • To have an understanding of the venue sales targets and to assist the commercial sales team in working towards all sales strategies by encouraging HAC Members to book event spaces and upsell on events where possible.
  • Receive incoming member enquiries, following the Sales Department standards and procedures and to convert them into the confirmed business.
  • To prepare proposals for new member enquiries where suitable, ensuring venue standards are adhered to and contain best fit/feature expectations for the client, maximising yield and revenue.
  • Ensure all sales procedures and administration correspondence duties are up-to-date and completed in a timely fashion as per agreed KPI’s. (Proposals, Contracts, Follow-ups and Deposit schedule/payments).
  • To meet with prospective clients and show them around the venue facilities.
  • To support the SMM and BDM to identify and support new leads for future business opportunities.
  • To maintain a clean CRM database and bookings calendar.
  • To report sales activities on a daily and weekly basis.
  • To support the Sales Team in promotional and hospitality activities as directed by the SMM.
  • To be familiar with other departments' work – events, operations, internal sales, and maintain good working relationships.
  • To represent the venue professionally at all times in behaviour, appearance and knowledge.
  • To achieve targeted KPIs as agreed by the SMM.
  • Excellent communication skills, internally and externally with strong presentation skills. 
  • Must be self-motivated and have the ability to work independently in a fast-paced and multi-tasking environment.
  • Great team player
  • Possess excellent written and oral communication skills, and superior presentation skills.
  • Must possess strong organisational and time management skills
  • Working knowledge of computer systems (i.e., Microsoft Office) is essential
